Grant Proposal Guidelines
The following criteria and procedures are established for grant applications:
Foundation grants will be made for the following purposes:
- Youth rugby coaching clinics
- Publication and/or distribution of coaching materials such as manuals, videos, "Youth Rugby Guide" books, as well as essential materials for clinics and seminars - flyers, pamphlets, posters, photocopies, postage, etc.
- Reusable rugby equipment such as balls, cones, medical kits and medical equipment
- Provision for qualified sports trainers and medical support staff at sanctioned youth rugby tournaments.
- Post season travel expenses to qualified youth rugby tournaments.
Procedures for grant applications
- All grant applications must be in writing
- Grant proposals should comprise a one or two page cover letter describing the project, expected results, and the grant applicant(s). The proposal should also include a detailed project budget (including all anticipated revenues and expenses).
- The Trustees may request additional information and documentation after studying the proposal and discussing it with the grant applicant.
All grant applications should be sent to The Ohio Youth Rugby Foundation, c/o Stephen C. Reymann, Trustee, 8210 Linden Leaf Circle, Columbus, OH 43235.
- All grant applicants will be notified of the status of their application in writing after the application has been considered by the Trustees.
Successful applications will receive funds:
- -once the clinic, camp, or other event has concluded and results have been documents.
- -after any educational materials have been printed and distributed
- - upon receipt of both invoices for equipment and services which payment has been approved by the Foundation and a canceled check evidencing payment by the applicant
Items the Foundation Will Not Fund:
- Uniforms
- Advertising
- Insurance
- Events where alcohol and tobacco are served
Considerations:
- Whenever possible grant applications should be submitted at least four months before any event or program is scheduled to take place. No post event applications will be considered.
- The Foundation will only provide funds for manuscripts and materials which have been reviewed and approved by its qualified representative
Foundation grants must be acknowledged through a press release to local medial and to RUGBY magazine describing the funded program and its results.
The Foundation must receive acknowledgment on the front and/or back cover of any publication whose printing or distribution has been subsidized in whole or in part by the Foundation.
- The Foundation must receive copy or copies of the final document(s) or materials, as well as copies of any receipts which relate to the event.
- The Foundation may request black & white photos of the project and permission to use these photos in its newsletters, press releases, or fundraising materials.
- Grant proposals should include information concerning other funds which the grantee has available to them. The Foundation will require an assurance that sufficient funds are available in cases where the grant being requested will not cover all expenses of the proposed project or where the Foundation approves less than the full funding requested.
- Special consideration will be given to proposals requesting that the Foundation match funds raised from other sources.
